Here’s how group hotel booking actually works, and how to avoid paying more than you need to.
Why hotel rates near a convention center spike before a show
Hotels within walking distance of a major convention center know exactly when a big show is in town — they’ve usually known for a year or more, since exhibition calendars are published far in advance. As a show date approaches, two things happen: rooms sell out (there are only so many hotels near any given venue), and the hotels that still have availability raise their rates to match demand. By the time exhibitors start looking two or three weeks out, the closest hotels are often gone entirely, and what’s left is priced at a premium.
How a hotel room block actually works
A room block is a set of rooms a hotel reserves for a specific show, at a fixed rate, negotiated in advance — usually by a housing/booking partner working directly with the hotel, not by each attendee calling individually. Booking through a block gets you:
- A locked-in rate that doesn’t rise as the show date approaches
- Proximity to the venue that’s often no longer available by the time you’d book solo
- Group logistics — one booking for multiple rooms, one point of contact, easier to adjust room counts as your team firms up
When to book
As a rule of thumb: the closer to the venue you want to be, the earlier you need to book. For headline shows at major venues (Las Vegas Convention Center, McCormick Place, ExCeL London, and similar), rooms in the closest tier are frequently gone 3–4 months out. For mid-size regional shows, 6–8 weeks ahead is usually enough. If you already know your team is attending a specific show, request room options as soon as the show is confirmed on your calendar — there’s no downside to asking early, and locking a rate protects you from the price rising later.
Questions to ask before you book
- Is this rate fixed, or can it change? A genuine room-block rate shouldn’t move once confirmed.
- What’s the cancellation policy? Trade show attendance can shift — know the cutoff date for releasing rooms without penalty.
- How far is the walk to the show floor? “Near the venue” can mean a 3-minute walk or a 25-minute rideshare. Ask for the actual distance, not just the neighborhood name.
- Can the room count change later? Most legitimate blocks allow you to adjust room numbers as your attendee list is finalized, within reason.
