Hotels within walking distance of a major convention center know exactly when a big show is in town — they’ve usually known for a year or more, since exhibition calendars are published far in advance. As a show date approaches, two things happen: rooms sell out (there are only so many hotels near any given venue), and the hotels that still have availability raise their rates to match demand. By the time exhibitors start looking two or three weeks out, the closest hotels are often gone entirely, and what’s left is priced at a premium.

For mid-size regional shows, 6–8 weeks ahead is usually enough. If you already know your team is attending a specific show, request room options as soon as the show is confirmed on your calendar — there’s no downside to asking early, and locking a rate protects you from the price rising later.
