Most major convention centers have a real choice of hotels within reasonable range — which is good, until you’re staring at eight options that all say “near the venue” and need to actually pick one. Here’s the order to weigh the factors in, since price is rarely the first thing that should decide it.
1. Actual walking distance, not neighborhood name
“Steps away” and “in the district” can both describe hotels that are a 3-minute walk or a 20-minute one. Before anything else, confirm the real distance — most venues have a small number of hotels genuinely attached or immediately adjacent, and a much larger set that’s merely “in the area.” If your team is carrying booth materials or working long show-floor days, this matters more than almost anything else on the list.
2. Whether your team is on the booth all day or moving around
Exhibitor staff running a booth from open to close benefit most from proximity — every extra transit minute is time not on the floor. Attendees moving between sessions, meetings, and evening events have more flexibility to trade a slightly longer commute for a better location for everything else they’re doing outside show hours.
3. Group size and whether you’re splitting the team
A team of 3–4 can usually all fit into whichever hotel is closest, even if it’s a smaller property. Larger teams (15+) sometimes need two properties simply because no single hotel has enough rooms in the closest tier — in that case, keep the group as concentrated as possible rather than scattering across many different hotels.
4. Rate versus location trade-off
The closest hotels to any venue are consistently the first to sell out and the most expensive per room. Once you’ve established how much proximity your team actually needs (from points 1–2 above), it becomes a straightforward trade-off rather than a guessing game — you’re not comparing every hotel in the city, just the handful that fit your actual requirement.
5. What’s realistic to book, and when
The “ideal” hotel is only a real option if it still has availability by the time you book. This is where booking early changes the outcome — a team that requests hotels 4–6 months out gets to choose from the full list; a team booking three weeks out is choosing from whatever’s left, which is often a very different (and pricier) set of options.
